How educational agencies export their data — and what happens when services end.
Educational agencies own their data and should have complete control over it. Impact Suite provides comprehensive export with no restrictions or fees for standard exports.
Requesting a full export
Educational agencies can request a complete export of their data at any time by contacting support@impactsuite.com — no restrictions, and no fee for standard exports.
- What’s included — student records, guardian information, staff/faculty data, concerns and incidents, case-management records, training completions, and policy acknowledgements.
- Formats — JSON (preserves relationships) or CSV.
- Package — a data dictionary, README, relationship mapping, and integrity verification (manifest with record counts and MD5/SHA-256 checksums), delivered via secure SFTP.
- Timeline — standard exports complete within 30 calendar days; expedited options are available.
Scheduled exports
District administrators can also configure recurring exports of concerns, cases, and attendance events (CSV) to their own SFTP server from Settings → Data Export, on a daily, weekly, or monthly cadence.
When a contract ends
A structured 90-day transition applies:
- Day 0 — formal termination notice with the 90-day retention window and export options.
- Days 1–30 — standard access gradually restricted; data export remains available on request; SIS sync deactivated.
- Days 31–90 — full data remains exportable; monthly reminders about upcoming deletion.
- Day 60 — final warning 30 days before deletion.
- Day 91+ — unless continued retention is requested, all data is securely deleted per NIST 800-88 practices, with a certificate of destruction on request.
No data hostage
We never withhold data over payment or contract disputes, never charge for standard exports, and never use proprietary lock-in formats. Standard exports are free.
